Our leading veterinary emergency and specialty hospital is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Practice Manager. The Practice Manager will be responsible for the overall operations, development and success of our emergency and specialty practice. In this important role, the successful applicant will act as an information resource and ambassador to clients, the general public, Veterinarians and staff. Responsibilities and Duties
Work closely with the Chief of Staff to advance clinical objectives and department supervision
Manage daily staffing to ensure optimal operation of the practice
Assist in hiring processes of all clinical staff
Regularly review productivity and make staffing adjustments as needed
Review accounts receivable reports monthly
Optimize departmental profitability through identification of revenue opportunities and operational efficiency
Organization of clinical scheduling and assessment of needs
Communicates objectives, motivates staff, builds and maintains morale, core values and standards.
Takes an active role in practice staff meetings.
Promotes a cooperative working environment among staff members.
Shows enthusiasm and willingness to perform as necessary to help the practice function as a unit.
Maintains positive, cooperative relationships with other employees.
Promotes continuous quality improvement.
Obtain and retain a stable of locum (both ER and Specialty) vets and coordinate continuity of services
Coordinate CVO communications
Referring Veterinarian and patient outreach initiatives
CLIENT (REFERRING VETERINARIANS AND PET OWNERS) RELATIONS
Promotes a client-centered environment and facilitates programs and processes that meet client needs.
Maintains the practice philosophy for attracting new clients and retaining existing clients.
Facilitates resolution of client problems that doctors or other staff members cannot finalize.
Resolves financial problems with clients, collecting delinquent accounts and "NSF'” checks; determines when special financial agreements are appropriate
Initiates new programs and markets services through public relations campaigns.
Maintains effective advertising
Organizes representation of the clinic at local conferences and continuing education for local and provincial veterinary medical associations as well as well as general public animal centred events
Certified Practice Manager credential in clinical practice (ie. Certified Veterinary Practice Manager, Certified Physician Practice Manager medical or dental)
3+ years' experience in clinical office management
Working knowledge of medical terminology
Proficiency with EMR systems and software applications, including Microsoft Office Suite
Excellent written and oral communication skills
Work exposure to all aspects of a business enterprise, with demonstrated competence in budgeting and financial reporting and in staff management.
Feel and express a genuine liking for animals and for working in an animal care environment.
Must be able to work under the broad general administrative supervision of the owners and Veterinary Managers, and to be able to use sound personal judgment in selecting methods, establishing priorities, and arriving at conclusions
Must be able to tactfully demonstrate “take charge” capabilities.
May be required to work uncommon hours, overtime, and be subject to recall in emergency situations.
Deal intelligibly, pleasantly and efficiently with clients on the telephone and in person, often doing several things at one time.
Display tact and diplomacy with staff members and clients.
Work frequently in the presence of other staff members and clients.
Be flexible in attitude and work habits
